Linking multiple invoices/costs to a single bank transaction is currently not possible in Gekko, and it is unlikely that we will add this option in Gekko. A bank transaction is seen in Gekko as a "base unit" that is not divisible. Because the moment you do start dividing a "basic unit," your administration becomes very complex.


Payments through payment providers that retain a percentage of the payments are another example, such as payments through Mollie. For such a payment, you have to start linking both revenue and costs to one transaction, which is not convenient.

 

Therefore, for linking multiple invoices/costs to one transaction, you need to do the following:


Costs

In the case of costs, Gekko doesn't really look at the payments. So for example you pay two receipts at once, you can link the transaction to one of the two receipts. For the other receipt, you then don't link a bank transaction. A better organized way to process multiple receipts is to use the "Mark as other" option in the Gekko banks tab with your transaction. When you select the option "Mark as other", Gekko sees your transaction as a business transaction. A transaction marked as "other" indicates that there is a reason the transaction cannot be properly linked in your records. You can then simply report the costs you cannot link based on the receipt you received.


Income

In the case of income, that is, multiple invoices paid to you at once, you should always use the "mark as other" option. Again, you select this option for your transaction in the banks tab of Gekko. After all, for an invoice, the amount must exactly match the amount you invoiced. After marking the transaction as other, you still have to manually set your invoices to "paid" by manually adding a payment.

 

Note: matching transactions is not necessary for proper administration, but it is a "best practice." This also means de facto that combining payments to one transaction is not recommended. It is allowed, but it is also something that can be seen as a "red flag" for the Belastingdienst. This is because it looks like trying to justify the payment with the accounting rather than the payment coming from the accounting.
